HR Executive

Position Level Senior Executive Requirements Diploma or Degree in Human Resource Management, Business Administration, or related field. Minimum 3–5 years HR experience in manufacturing or industrial companies. Strong understanding of Malaysia HR legal framework. Knowledge of HRMS/ERP systems and proficient in Excel data reporting. Excellent interpersonal and communication skills in English and Mandarin (preferably). Good interpersonal, confidentiality and record-keeping skills. High integrity and responsibility. Responsibilities 1. Recruitment & Manpower Planning Handle sourcing, screening, interview scheduling, onboarding and probation follow-up. Support manpower planning for operators, technicians and staff roles. Build talent pipeline and reduce hiring lead time. 2. HR Operations & Documentation Maintain employee files for local and foreign workers (EP/Contract). Manage attendance, OT, leave, roster, and payroll data updates. Prepare HR forms, memo, warning letters, and employee movement records. Keep all HR documents ready for audit, customer visit or internal review. 3. Employee Relations (ER) Handle employee enquiries, communication, and conflict resolution respectfully. Support counselling, performance feedback, and workplace discipline. Promote teamwork, respect, attendance discipline, and clean working environment. Help employees understand company rules and working culture. 4. Industrial Relations (IR) Apply Malaysia Employment Act 1955 and company rules in HR decisions. Prepare documentation for discipline cases (late, AWOL, misconduct, performance). Assist in investigations, warning issuance, PIP, and termination process. Maintain fair, consistent, and legally compliant case records. Support communication with Labour Office or other authorities if required. 5. Training & Culture Support Organize onboarding training, basic HR briefings, and safety awareness. Track training records and skill competency. Encourage Flex culture: fast execution, respect, teamwork, cleanliness, discipline. 6. ISO, Compliance & Audit Maintain JD, training record, competency matrix, and HR filing checklist. Ensure traceability of employee data for ISO or customer audit. Align HR processes with ISO 9001 / ISO 13485 / corporate SOP. Qualification Diploma/Advanced/Higher/Graduate Diploma
